Step 4
Material Selection & Studio Presentation
This is where drawings turn into real-world finishes you can touch.
We select, price, and stage every material your project needs, then host a focused review in our Jupiter studio so approvals are clear and procurement can begin without delay.
This step applies to both Design & Construction Concierge and Design & Procurement Only projects. Material procurement is executed here for both services. Ongoing construction oversight occurs only under Design & Construction Concierge.

What Happens Before The Studio Day?
Curate The Full Finish Schedule
Based on the approved renovation scope and layouts, we assemble comprehensive selections for all design-related construction materials: flooring, tile, slabs, plumbing, lighting, hardware, paint, wallcoverings, doors, windows, and more.
We also coordinate built-in cabinetry with our in-house team so sizes, door styles, inserts, and finishes match the plan.
Documentation You Will See
Scaled drawings and elevations for key areas that tie each selection to a location.
Visual aids and renderings where helpful. Per the contract, renderings are produced at Palm Club’s discretion as artistic references. Additional renderings can be requested for a fixed per-room fee.
A clear selections list so nothing is missed and pricing can be finalized.
One structured round of design revisions is included after the initial presentation. Additional revisions are billed hourly, and additional room renderings are available at a set fee.
Approval and sign-off are due within one week of the final post-revision presentation, and items not approved in that window may require re-pricing.
Why We Do Design & Selections In Parallel
Material choices affect layout, clearances, and buildability. For that reason, drawing refinement and material selection proceed together to avoid rework later.
This protects budget accuracy, lead times, and downstream coordination.
The Studio Presentation in Jupiter
A Focused, Tactile Review
You will see and handle the actual samples for your project while we walk room by room through the drawings.
We review how each finish meets function and budget, and we discuss pricing so decisions are confident.
What We Cover In The Room-By-Room Review
Floor and wall finishes, transitions, and patterns
Slab selections and edge details
Plumbing and lighting fixtures with finish strategy
Cabinetry styles, inserts, and functional layout
Hardware suites and paint schedules
Any renderings or visual aids that help you see the intent
The goal is a cohesive, buildable specification that your GC can execute without ambiguity.
Revisions and Approvals
Included
One structured round of design and selection revisions after the presentation. We incorporate your notes, update drawings and the selections list, then issue a final pack for signature.
Additional Requests
Further revisions beyond the included round are billed at the hourly design rate outlined in your contract. Additional digital room renderings are available at the fixed per-rendering rate noted in the contract.
Approval Window
Final approval and sign-off are due within one week of the post-revision presentation. Delays can trigger re-pricing because vendor programs and availability change frequently.
Procurement Execution via Palm Club Logistics
Palm Club Logistics Manages Ordering, Receiving & Fulfillment
All approved design-related materials are ordered, received, inspected, and documented by Palm Club Logistics, our dedicated procurement and fulfillment arm.
This team places orders, coordinates billing, manages receiving, inspects deliveries, resolves damages or defects with vendors, and supports your contractor with specification sheets and fulfillment guides.
This centralizes responsibility and reduces delays on-site.
Deposits and Timing
Per the contract, a non-refundable deposit toward the estimated materials budget is due at contract execution.
Materials are then ordered promptly after your final sign-off and payment, aligning with the schedule commitments in your agreement.
If Something Is Out Of Stock
Selections can occasionally require reselection due to availability or quality changes outside our control. We will reselect efficiently at no additional design cost to you, then update documentation for a clean approval trail.
Quality Assurance On Materials
Receiving and Inspection
We receive and inspect every shipment to confirm correct SKUs, quantities, finishes, and condition before anything is released to site. If an issue appears, we work directly with suppliers to correct it and keep the project moving.
In practice, many defects or damages are resolved behind the scenes so your schedule stays on track, a benefit of dedicated logistics oversight discussed during discovery and onboarding.
Warranties
We specify from manufacturers that provide standard factory warranties. Those warranty rights flow through to you.
If a claim is required, our team helps coordinate with the vendor as part of our stewardship of the project.

What This Step Includes
A complete, cohesive selections package tied to drawings
Pricing visibility so decisions align with your budget
One structured revision round after the studio day
Final sign-off documentation that authorizes procurement
Ordering, receiving, inspection, and fulfillment through Palm Club Logistics
What This Step Does Not Include
Permit-ready architectural or engineering documents. These are prepared later by the GC’s licensed architect or engineer.
Construction supervision or site oversight for Design & Procurement Only projects. Those services are included only in Design & Construction Concierge engagements.
Why Our Approach Reduces Risk
Selections are engineered with the drawings, so what you approve is buildable.
A single logistics team controls ordering, inspection, and replacement, which removes common job-site delays tied to materials.
Clear approval rules keep pricing and lead times current, protecting your schedule and budget.
Common Questions
Can I request extra renderings?
Yes. Additional room renderings are available at the fixed per-room fee in your contract.
What if I want to change a selection after sign-off?
Post-sign-off changes typically impact cost and lead time. We outline implications and process changes in line with your agreement.
Do you handle furniture and decor now or later?
What happens after I sign off?
Next Step
With selections approved and materials ordered, projects proceed as follows:
Design & Construction Concierge projects continue into Project Oversight & Completion, where Palm Club remains involved through construction to protect design execution.
Design & Procurement Only projects conclude design services here, with materials fulfilled through Palm Club Logistics and construction managed directly by the client and their general contractor.
